How to Recall an Email in Outlook

Recalling an email in Outlook is a useful feature that allows you to retrieve a sent message before the recipient opens it. However, there are some conditions and limitations to be aware of. Here’s a step-by-step guide on how to recall an email in Outlook:

Conditions for Recalling an Email:

  • Both you and the recipient must be using an Exchange server email account.
  • The recipient’s mailbox must be open (they must be logged into Outlook).
  • The original email must be unread and still in the recipient’s inbox.

Steps to Recall an Email:

  1. Open Outlook:
    • Launch Microsoft Outlook and go to your “Sent Items” folder.
  2. Open the Sent Email:
    • Find the email you want to recall in the “Sent Items” folder. Double-click to open it.
  3. Go to the “Message” Tab:
    • At the top of the email, you’ll see a set of tabs. Click on “Message” to access the message options.
  4. Click on “Actions”:
    • Within the “Message” tab, find and click on the “Actions” button.
  5. Select “Recall This Message”:
    • A dropdown menu will appear. Click on “Recall This Message.”
  6. Choose Recall Options:
    • A dialog box will appear with two options:
      • Delete Unread Copies of This Message: This option will delete the email from the recipient’s inbox. If they’ve already read it, this won’t affect them.
      • Delete Unread Copies and Replace with a New Message: This option allows you to send a replacement message along with the recall. You can edit the new message as needed.
  7. Select Your Preferred Option:
    • Choose the option that suits your situation.
  8. Click “OK”:
    • After making your selection, click “OK” to initiate the recall.
  9. Receive Confirmation:
    • You’ll receive a notification telling you if the recall was successful or not.


  • If the recipient has already opened and read the email, the recall will not work.
  • The recall process might not be instantaneous. It may take some time for the request to be processed.
  • The recipient will receive a notification about the recall attempt, even if it’s unsuccessful.
